Job Type: Part Time

About the Role:
The Rental Host will be responsible for ensuring all Nia Centre For the Arts Rental partners and program participants are supported during programs, events and rentals of our space, ensuring we create a safe and welcoming space. 

Contract Duration or Full Time Hours :
The Rental Host will be a part-time role that involves a minimum of 21 hours per week to support the Operations and Program team. This role will be from Fall 2024- Summer 2025.

General Duties

  • Be a welcoming presence at our front desk for visitor and clients
  • Enthusiastically provide rental information to any client or guest on site
  • Contribute to creating and maintaining an inspiring, inclusive, welcoming and safe shared space
  • Support with setup and tear down for community programming and events 
  • Facilitate tours of our Centre to potential rental clients and community partners
  • Tidy, clean and rearrange furnishings and miscellaneous arts materials as needed
  • Direct all potential new customers to our Operations team and the online booking system
  • Complete a daily log for all shifts and support any operational/programming tasks
  • Provide building access for the necessary event and tech staff
  • Follows policies and procedures for Health & Safety standards and work in a safe manner
  • Follow Nia Centre protocols for programming and Rental Bookings

Our Ideal Candidate will have:

  • +3 years experience providing exceptional customer service
  • +3 years of experience with problem solving skills
  • Excellent verbal communication skills, possess patience and effective conflict
  • Strong people skills, able to enforce guidelines as needed
  • Ability to facilitated day of event details, considering all individuals onsite – rental client, building staff, programing participants of the Nia Centre community
  • Attentive to details and able to generate a daily report on the event proceedings
  • Availability to work weekends and evenings
  • Must be over 19 years of age
  • Smartserve certification is required
  • A police check will be required
  • Experience with event security
  • Knowledge of First Aid and Health & Safety protocols

Rental and Events Manager

Job Summary:

The Rentals and Events Manager will play a pivotal role in driving the growth and success of Nia Centre for the Arts by strategically managing and expanding our rentals and events business. This role will focus on enhancing our outreach efforts to attract a diverse range of clients and events. The ideal candidate will possess a strong blend of strategic thinking, relationship-building skills, and a passion for the arts and community engagement.

Key Responsibilities:

  1. Research and Development:
    • Develop a comprehensive strategy for expanding the rentals and events business at Nia Centre, aligned with organizational goals and values.
    • Analyze market trends, client needs, and competitive landscape to inform strategic decision-making.
  2. Event Management:
    • Oversee the planning, coordination, and execution of events, ensuring a high standard of service and client satisfaction.
    • Collaborate with internal teams to ensure events are well-coordinated and deliver on client expectations.
    • Develop and maintain a portfolio of preferred vendors and suppliers.
  3. Outreach and Client Engagement:
    • Lead outreach initiatives to attract new clients and engage with existing ones, focusing on relationship-building and long-term partnerships.
    • Conduct regular client satisfaction surveys and follow-ups to ensure continuous improvement.
  4. Budget and Revenue Management:
    • Develop and manage the rentals and events budget, including forecasting, tracking, and reporting on financial performance.
    • Identify and implement strategies to optimize revenue generation from rentals and events.
  5. Team Leadership:
    • Provide guidance and support to team members, contractors, volunteers and stakeholders, fostering a collaborative and high-performing work environment.
    • Set clear goals and performance metrics for team members, and conduct regular performance evaluations.
  6. Vendor Management:
    • Establish and maintain relationships with corporate partners, community organizations, event planners, vendors and other stakeholders.
    • Negotiate and manage agreements, ensuring mutual benefit and alignment with Nia Centre’s mission.
    • Work closely with the marketing team to develop promotional materials and campaigns that highlight rental opportunities.

Qualifications:

  • Bachelor’s degree in Business Administration, Marketing, Event Management, or a related field is an asset.
  • Minimum of 5 years of experience in events management, business development, preferably within the arts or non-profit sector.
  • Proven track record of successfully developing and executing strategic plans that drive business growth.
  • Strong interpersonal and communication skills, with the ability to build and maintain relationships with diverse stakeholders.
  • Experience in budget management and revenue forecasting.

Working Conditions:

  • Primarily an office environment
  • Occasional evening and weekend work may be required based on event schedules.
